We are seeking a reliable and proactive Office Admin Assistant to support our daily office operations. This role requires someone detail-oriented, can manage multiple tasks, and thrives in a fast-paced environment.

As we continue to grow, we are looking for an organized, detail-oriented, and motivated Office Admin Assistant to join our dynamic team.
Position Overview:
We are seeking a reliable and proactive Office Admin Assistant to support our daily office operations. This role requires someone detail-oriented, can manage multiple tasks, and thrives in a fast-paced environment. You will be the backbone of our office, helping with administrative tasks, coordinating schedules, managing communication, and ensuring that our office runs smoothly.
Key Responsibilities:

Daily correspondence with clients and internal staff via email, phone and other communications.

Prepare, draft, process and organize reports, documents, and correspondence for internal, client, and 3rd parties.

Maintain and organize office files, both electronic and physical.

Schedule appointments for inspections and other key operations for technician teams, ensuring proper coordination and follow-ups.

Assist with invoicing, billing, and other basic financial tasks.

Assist with client inquiries and ensure prompt and professional responses.

Manage inventory and order supplies when needed.

Qualifications:

One-or two-year college or other program for administrative assistants or secretaries or equivalent previous experience

Proven experience as an office assistant, administrative assistant, or in a similar role.

Strong proficiency in Microsoft Word, Excel, and Gmail.

Excellent verbal and written communication skills.

Strong organizational and time-management abilities.

Strong attention to detail and problem-solving skills.

Ability to multitask and prioritize effectively in a fast-paced environment.

Previous experience in the fire prevention or safety industry is a plus but not required.
